What is novomind iMailLight?

iMailLight helps Microsoft Outlook® users organize their incoming e-mails. iMailLight is a self-learning system which is installed as a Microsoft Outlook® plug-in and can be used as an alternative to the Microsoft Outlook® rule assistant to filter incoming e-mails into specific folders.

What does it cost to use iMailLight?

novomind iMailLight™ is available free of charge when implemented for private use only. If you want to use iMailLight in a public environment as a company, public authority or institution, you must request prior authorization from novomind AG in writing. novomind AG reserves the right to authorize commercial use in individual cases. What is Microsoft .NET 1.1 and why do I need it?

Microsoft .NET is a platform for building applications on Windows. It was first released in April 2003. iMailLight is built upon .NET and will not operate if this platform is unavailable.

Does iMailLight only run on Windows or can I run it on other platforms?

iMailLight may currently only be run on Windows.

Can I run iMailLight with Outlook Express?

It is not currently possible to run iMailLight if you are using Outlook Express.

What languages does iMailLight support?

When you install iMailLight, you may currently choose between English and German. Depending on the language selected, the interface will be displayed in English or German. A standard list of non-relevant words (see also "How can I improve the overall recognition rate?") is available for English and German and can be extended manually to include other languages, i.e. iMailLight can be implemented to categorize e-mails in languages other than English and German.

Do I have to restart Outlook after installing iMailLight?

Please check that you have closed Outlook before installing iMailLight and do not restart Outlook until the installation has been completed. To install iMailLight, click on the "Setup.exe" file. The assistant will guide you through the installation step by step. It is not necessary to restart your computer when the installation is complete; iMailLight is ready for immediate use.

How do I uninstall iMailLight?

Go to "Start/Program files", click on iMailLight in the program list and select the "Uninstall" option.

Why is my inbox used as a category to train iMailLight?

The "Inbox" folder is automatically included as a separate category. It acts as a default category to ensure that even if incoming e-mails cannot be assigned a more specific category, they still remain in the e-mail inbox. This reduces the probability of any sorting errors occurring. If you prefer not to use the default "Inbox" category, simply delete it from the category list. Before training iMailLight to recognize your categories, you should make sure that you have organized your inbox effectively, i.e. all e-mails which belong in folders which will be used for the categorization process have been moved to the relevant folder before initiating training.

Why can’t I include certain folders (e.g. Contacts, Calendar) in the training process?

iMailLight is designed to help Microsoft Outlook® users organize and channel their incoming e-mails. Contacts and calendar entries are not e-mails.

How can I retrain specific folders?

It is not possible to select specific folders for retraining. All defined categories must be retrained simultaneously. The training always takes into account the 100 most recent e-mails from each category folder.

How many folders can I use?

In theory, you can train iMailLight to sort e-mails into as many folders as you like. However, you must have a minimum of 2 folders and ensure that the e-mails in your folders can be differentiated effectively according to content, i.e. deal with suitably different topics.

Why can’t I train iMailLight using folders which contain less than 20 e-mails?

The recognition rate when categorizing e-mails automatically may be lower if the selected folder contains less than 20 e-mails. To ensure that e-mails are categorized as accurately as possible, it is important to set up and structure the relevant inbox folders before installing iMailLight. The individual folders should ideally be easy to differentiate, i.e. deal with suitably different types of e-mail content. In addition, each folder should contain a minimum of 20 e-mails to provide iMailLight with enough information to identify and categorize similar e-mails in future.

It is possible to add new categories later?

Click on the toolbar button marked "iMailLight" to access the configuration dialog. Categories can be added or deleted at any time using this dialog. A small symbol placed next to the categories indicates whether iMailLight will require retraining once you have clicked on "OK". You can also start a retraining process manually by clicking on the "Retrain" button. The new learning process will start automatically as soon as the configuration dialog has been closed.

Is it possible to deactivate the categorization process?

iMailLight automatically channels new incoming e-mails into the relevant category folder. deactivate or reactivate this process, simply modify the current status of iMailLight using the categorization status button marked "Categorization activated" or "Categorization deactivated".
To deactivate all categorizations simultaneously, choose all categories and use the button marked "delete". Don't forget to acknowledge using the button marked "OK".

What do I do if iMailLight sorts an e-mail into wrong category folder?

Select the e-mail in question and use the "Reassign" menu to move it to the correct folder. iMailLight will initiate a new learning process to avoid making the same mistake in future.

How can I improve the iMailLight recognition rate for spam e-mails?

Open the configuration dialog using the "iMailLight" toolbar button. If you have set up a spam category, use the "Other" tab to deactivate the option "Exclude HTML tags". This option is used to define whether or not e-mails in HTML format should remain in the original format or be converted to text-only format. Most junk mail contains HTML markups, making it easier for iMailLight to identify and categorize spam content.

Does the e-mail categorization take the e-mail subject line into account?

Open the configuration dialog using the "iMailLight" toolbar button. Click on the "Other" tab to access the "Include e-mail subject" option. This option defines whether or not iMailLight should analyze just the e-mail text body, or also take into account the contents of the e-mail subject line. We recommend that you activate this option.

How can I make sure that an e-mail signature is included or excluded from the categorization process?

Open the configuration dialog using the "iMailLight" toolbar button. Click on the "Other" tab to access the "Exclude signature" option. This allows you to define whether or not the signature text included at the end of some e-mails should be taken into account during the iMailLight learning process.

How can I improve the overall recognition rate?

Open the configuration dialog using the "iMailLight" toolbar button. Click on the "Other" tab to access a list of non-relevant words. This can be used to exclude specific terms from the learning process. The default input box already contains a standard list of English and German-language terms for exclusion.

Where can I check how successfully iMailLight is identifying e-mail categories?

iMailLight provides recognition rate statistics. Open the configuration dialog using the "iMailLight" toolbar button and click on the "Statistics" tab to view how effectively iMailLight has sorted incoming e-mails for all of the defined categories. The "E-mails for training" column displays the number of e-mails used to train iMailLight. The column marked "Correct" displays the number of e-mails which were correctly allocated to this category. Incorrectly-sorted e-mails which were re-categorized using the "Reassign" function are listed in the column marked "Incorrect".

How do I create a response template for an e-mail?

In order to create a response template there is a particular directory "templates", which has been created automatically in the iMailLight application directory.
To create a response template for a category just open the MS Editor or TextPad. Write your message as "plain text" and save the file under "~/iMailLight/templates".
As soon as this directory is populated with templates you can use the button "Response template" in the iMailLight configuration to assign suggestions to categories.
Just click the button "Response template" and choose the appropriate template. After clicking the button "Open" you will find your assigned answer suggestion in the iMailLight configuration "template" column.

How do I reply to incoming e-mails with assigned response templates?

Each time an incoming e-mail has been categorized by iMailLight and a response template has been assigned to this category an automatically created response template will be created and saved in the drafts directory. So to reply to an e-mail categorized by iMailLight just go to the drafts directory and choose the corresponding e-mail by double-clicking on it. Of course you can add additional text and attachments too.

Can I create response templates subsequently or assign (new) response templates to categories?

You can create new and (de-)allocate existing response template texts every time by clicking the button "Response template" in the iMailLight configuration.
Each response template text has to reside in the designated template directory.
An assignment between response template and category will be active until either a new allocation is chosen by clicking on the button "Response template" or until it is deallocated by additionally clicking on the "Cancel" button in the following selection dialog.
IMPORTANT:
An assignment between a response template and a category will not be deallocated just by deleting the text file in the templates directory.
As long as no (new) assignment is chosen in the iMailLight configuration the existing assignment is active irrespective of the physical presence of files in the templates directory.
This also means that all changes of the text file won't take effect unless you perform a new assignment in the configuration.

How do I deallocate a response template?

Deallocate a response template by

  1. selecting the appropriate category in the iMailLight configuration,
  2. pressing the button "Response template" in the following Selection Dialog
  3. and finally clicking the button "Cancel".
You will notice that in the templates column there is no assignment anymore.
IMPORTANT:
An allocation between a category and a response template will not be deallocated just by deleting the text file in the templates directory.
As long as no (new) assignment is chosen in the iMailLight configuration the existing assignment is active irrespective of the physical presence of files in the templates directory.
This also means that all changes of the text file won't take effect unless you perform a new assignment in the configuration.

What do I do if iMailLight assigns an improper response template to an e-mail?

Either the e-mail categorization by iMailLight is incorrect. In that case you should assign the improperly categorized e-mail to the appropriate category by pressing the "Reassign" button in the iMailLight taskbar.
Or you should check the current response template assignment in the templates column of the iMailLight configuration, if the e-mail categorisation itself is correct.
If the assignment is correct as well, i.e. the correct name is been displayed in the templates column, you should reassign the response template for good measure, for each content change of a text file will only take effect after a reassignment in the configuration.

An error message has been displayed - what should I do now?
